At Hi-Tech, we work on philosophy of quality, quality & quality. We have several Quality Control and Auditing procedure in place to ensure accuracy of up to 99.99% or more. The type of procedure we adopt depends on input data and the accuracy level desired by the clients. The following are some of the methods used by QC personnel to ensure high accuracy.
Double Entry
The data entry job is divided into batches and each batch of document has a covering "Keying Specification Instruction Sheet".
Two data typists enter the data in different files to generate the output say A & B.
These two files are electronically compared through software. The program stops where it finds and mismatch between the two files giving the operators the opportunity to correct the mistakes. This type of comparison is done by two operators to generate the output files say C & D.
The two files (C and D) are again electronically compared to generate the file say E.
The text file (E) is audited to check the required accuracy level of 99.995%.
The data file generated is copied on CDs and couriered to client. Simultaneously, the data files are also transferred onto the Internet FTP site on a daily basis.
OCR and Manual Entry
Sometime when the input text is clearly printed or typed, then we use OCR technology to do the first data conversion. The second data conversion is done by manual entry. With this approach, the overall processing time decreases with a consequent reduction in price given to client
Address Verification
In cases such as directory entry or those forms which involves street addresses, zip etc., we verify the addresses by most current USPS database. The verification software points correct typos and also identifies inconsistencies in street addresses and zip
Email verification
We have e-mail verification software which checks for the existence of mailbox and whether it is active.
Handwritten text
Sometime the text is handwritten and very difficult to read. In such cases, we have found that double entry is not beneficial and does not help in reducing errors. The best way is to enter it once and is proofread carefully for errors by experienced personnel.
